RFP on Abstracting and Indexing Services
(April 1 - August 15, 1999)
VIVA will
award our contract for Abstracting and Indexing services to OVID
Technologies, Inc., with service beginning August 15 for these 5 major
databases: CINAHL, ERIC, MLA, PsychInfo, and SocAbs. Access to the trials will continue to be available for the
VIVA librarians until August 15. John Jaffe (Sweet Briar) is coordinating the order for the private insitutions. Training is tentatively
scheduled at several sites around the state for late August and early September. Many thanks to the RFP Committee
members: Chair Sharon Gasser (JMU), Dave Beagle (VPI), Jim Campbell (UVA), and Ruth Stanton (NVCC - Annandale),
as well as the ex officio members: Gene Damon (VCCS, Collections Chair) , Iris Moubray (JMU, VIVA Procurement
Officer) and Kathy Perry (VIVA Director). (7/21/99)
Our schedule for this RFP: Although a great deal of work took place over the phone and thru email,
here's our schedule for in-person meetings and major events: April 1: RFP
released
May 6: Proposals due at 3pm
May 18: RFP committee met (identified major questions to be answered by vendors, determined finalists)
June 1-2: meetings/first negotiations with finalists
June 16: VIVA Presentation Day for 2 finalists
June 23: RFP committee met
June 24: Collections Committee met
July 9: Steering Committee met
July 15: Final (in-person) negotiations with 1 finalist
July 21: Award Announced
August 15: Service begins

- Trial information (Password Protected -- see your VIVA User Services Contact or your Collection Development Contact if you don't have
the VIVA user id and password.)
- Evaluation Form
for the 2 Finalists. All VIVA institutions are encouraged to review the
two finalists. Completed web forms should be submitted to Ruth Stanton or comments may be mailed directly to Ruth
at rstanton@nv.cc.va.us.
- Vendor Presentations: Wednesday, June 16, 1999, at the University of Richmond, Room 118, Jepson Hall.
Directions are available, as is a campus
map (in both gif and pdf formats). Jepson Hall is #17 on both maps. As
of 6/15/99, we have 77 people registered for the Vendor Presentations.
