Present: Karen Cary, Gene Damon, Jacque Dessino, Sharon Gasser, Pat Hausman, Sandy Kerbel (recorder), Louveller Luster, Pamela Morgan, Kathy Perry, Jim Rettig, Larry Thompson, John Walsh.

1. Announcements

Gene Damon: Reported that VCCS purchased the Gale Literature Resource Center.

2. Changes to agenda

Add HarpWeek as a an action item.

3. Approval of Minutes of , 2000 meeting

No changes --Minutes approved by consensus.

4. Budget (K. Perry)

Kathy Perry distributed copies of the 2000 – 2001 budget. The uncommitted balance is $181,864.13; however, these funds are committed for next FY. The Committee at its next meeting will look at products for one-time expenditures for this FY. Kathy noted that the cost for the OVID nursing journals had increased by 17% this year.

5. Training Sub-committee (Pat Hausmann)

Pat Hausmann and Jacque Dessino reported that the Task Force on Training and Instruction will conduct a training session on August 3 at Blue Ridge Community Community College. The list of vendor participants will be finalized shortly and more details will be forthcoming

7. OCLC Update (J. Walsh)

John Walsh reported on use from September 2000- February 2001. The number of turnaways has decreased substantially because VIVA has increased the number of ports. It also appears that use per port is decreasing. At previous meetings the Committee had discussed the impact of local institutions’ ECO use on VIVA’s subscription. John Walsh reported that at present ECO was not burdening the system but that ECO use should be monitored and that VIVA may want in the future to bill back institutions. He has use stats collectively on ECO (JMU, Richmond, Tech, & UVA) titles and it appears that Construction Management is the most heavily used title. We will need to estimate costs for next FY but will wait until next meeting to make decision whether to prepay for access.

8. Encyclopedia Britannica (K. Perry)

Kathy Perry reported that Encyclopedia Britannica has provided VIVA with a cost estimate of $ 82,885 for access. Decision is needed by September 1. It was decided to convene a group to look at general encyclopedias. Pat Hausmann will chair the Group with Jim Rettig to be a member (other members of the group will be recruited. A report is due back in July/August.

9. Ovid Open Links (S. Gasser)

Sharon Gasser reported problems have been encountered in setting up links to full-text in the Ovid databases. Consequently VIVA has not opened up the administrator module to all institutions yet. John Duke is working on a definitive list of titles for VIVA institutions. Sharon Gasser also reported problems specifically with the Annual Review links for Ovid databases. She and Kathy Perry have been working with Ovid to resolve the problems and hope to have more information in two weeks.

10. E*Subscribe (G. Damon for S. Rortveldt)

Gene Damon reported for Sylvia Rortveldt that ERIC is still insisting that VIVA would need 800 simultaneous users license (which is why the cost for the service is so high). Sylvia Rortveldt will continue to work with ERIC.

11. New Opportunities

Grove Products – Gene Damon reported that some institutions are concerned because the Grove Dictionary of Art online does not contain all the images in the print because Grove lacks the rights to the images. Also the cost to VIVA would be double what institutions are paying themselves individually. VIVA will not continue to look at Groves.

APA PsycArticles – Sharon Gasser reported that APA is now offering a database of full-text articles from 42 journals back to 1988. The Committee will wait until next meeting to review this resource, after presentation ICOC meeting. She will investigate whether or not consortiums will be given price breaks based on their members’ ownership of the microfilm collection and whether or not they would consider a creative pricing structure (similar to the HarpWeek model).

AccessScience- The cost is $ .21 per FTE and represents an ongoing commitment. Larry Thompson, Pat Hausmann, and Jacque Dessino will evaluate the product.

12. HarpWeek (K. Perry)

Kathy Perry reported that HarpWeek has released Reconstruction II (1872-1877). . The Committee recommended this purchase. Public institutions in VIVA that have already purchased the product will receive a partial credit for 1/3 of the cost.

Planning for Next Year
It was decided to poll members about new products or areas for VIVA in case additional funding is available

Possible candidates for review are:

OVID Nursing journals

Highwire—to determine if can acquire titles in a different way because of problems encountered in working with Highwire

BIP

OVID—review in 2002-2004

Committee needs to review new pricing plan for Academic Press.
