Meeting Minutes for December 12, 2003
UVA -  Charlottesville

 

Present: Jean Cooper, Daniel Wilson, Rosa Townsend, Kevin Unrath, John Euliano, Stuart Frazer,  Bud Bennett, Shaunna Hunter,  Joe Malloy, and Jennifer Reynolds.

 

Introductions - Each person introduced themselves and we welcomed new members Stuart Frazer, Bud Bennett, Shaunna Hunter. New members Beverly Glover and Colette Macin were unable to attend. Dan Wilson agreed to serve on a task force studying OVID's proposal for online medical journals.

Jean reminded  everyone of the Mailing Tips Brochure created by Rosa Townsend and Joy Galoni. Rosa reported that she had not received significant comments from VIVA staff regarding the brochure.  Jean Cooper will  print out and mail about 200 copies of the valuable brochure to VIVA institutions.

Jennifer distributed a draft of the management survey results. We had good response 30+ institutions. No one had specific suggestions about the format of the final report so Jennifer will create one and route it to the subcommittee for comment.

John Euliano, Stuart Frazer, and Kevin Unrath will form a Task force to create a statement for inclusion in the VIVA guidelines about new materials . They will report back at our next meeting in March.

Jean Cooper, Dan Wilson, Beverly Glover, and Stuart Frazer will serve on a Task force to study the issue of OVID ejournals.

It was decided to move the ILL Forum to the Florence Elston Inn and Conference Center at  Sweet Briar College.Joe Malloy graciously agreed to serve as host and logistics manager for the 2004 ILL Forum.  Friday, July 16 was selected as the tentative date with Thursday, July 15 being reserved for an afternoon training session including sessions on copyright practice, copyright clearance center, Ariel, etc. See Jean's earlier email outlining the day's events. Additions to the forum might include poster sessions and  vendor presentations of new technology.

Subcommittee meeting schedule was discussed. We are scheduled to meet 4 times a year - March to discuss December issues and manage Forum details, May with the Resource Sharing Committee, August to assess the Forum, and December to welcome new members and plan next years forum.

The group discussed the value of increasing ILL staff awareness of the VIVA guidelines. In our continuing effort to do that, Bud Bennett volunteered to send copies of the Guidelines to all VIVA participants.

We will also explore the possibility of an ILL administrator making a presentation to the VIVA Directors group in an effort to increase Director awareness of ILL issues.

Next meeting is scheduled for March 26 in Charlottesville.
