Minutes of the ILL Subcommittee of the Resource Sharing Committee 12 May 2000 Members present: Andy Morton, Joe Malloy, Patricia DeMars, Jean Cooper, Cindy Jackson, Joy Galloni, Jeanne Scott, Debra Ryman, Kathleen Tilton Introductions were made. The committee discussed the VIVA ILL Community Forum, which will be held 14 July 2000. Mary Jackson, the guest speaker, will be discussing best practices in ILL. VIVA money has been allotted for the forum. The forum will be held at Zehmer Hall which has parking next to the building. Although parking should not be a real problem, car pooling is strongly encouraged. The program will begin with coffee at 8:30am and the presentation from 9am-1pm. A brief lunch will be held and then a breakout session with discussion groups. A sharing of these discussions would bring us up to 4pm. These groups should follow Marys talk what we are doing or trying to do and what hampers effective implementation. It will be a time to share with others. Perhaps we should ask Mary about possible topics to explore. We may need volunteers for moderators for the discussion groups. Joe and Andy have volunteered but perhaps a request should go out for any other volunteers. The groups should be divided by institution in a way similar to how Don did it at the January meeting. Pat and Kathy will work on this. There are a total of four rooms but two groups could be housed in the auditorium for a total of 5 groups. When emailing for reservations, an indication for the meal (roast beef, sub, turkey, vegetarian) desired will be provided. This form should have a place for names, the home institution, number attending, meal, and special accommodations. The cutoff date for registration will be 30 June 2000. Jean may need help at the registration desk. We need an agenda to pass out and perhaps handouts from Mary Jackson (we may photocopy at UVA). Mary may be able to send us an advance copy of her overhead slides so we need to ask her. A suggestion was made that she bring her publications to sell. We need writing pads and markers. Topics that were briefly brought up were how to improve practices to improve services, technology, ARIEL, ILL management programs/homegrown products, We thank VIVA for their support. We then went on to merge the ARIEL document and the VIVA ILL guidelines with changes suggested by Jean and Doug. The newly integrated document will be posted for comments on the web page. A favorite trick or tip of the week could also be posted on the web. All should be on the VIVA ILL listserv. Hopefully this listserv will be used more as it becomes more helpful. All should post when ARIEL is down. Problems with ARIEL and firewalls need to be addressed either through ARIEL coordinators (based on VLA regions?) who would function as a tech mentoring group or perhaps Pat could address this issue through the listserv . We might be able to get a consultant to help. For the VLA conference in Norfolk, October 19th and 20th, it was proposed that we offer a program using Access or Excel to gather, maintain, and manipulate OCLC statistics. Our tour of duty should be through the next conference (end of June 2001) so that we can examine what we have done and establish guidelines and procedures for the next group of volunteers. The next meeting will be after the VIVA ILL Community Forum on 4 August at 9:30 at UVA.
