VIVA Resource Sharing Committee Minutes of August 20, 1999, Meeting Present: Don Samdahl, chair; Christine Dixon, Doug Hurd, Thelma Hutchins, Ruth Kifer, Mary Molineux, and Andrew Morton. 1. Welcome: Don welcomed the new committee members; introductions were made. 2. Minutes: Previous minutes not available; current minutes will be sent on email to committee for review and, after approval, posted on the VIVA listserv and committee web page. 3. Historical overview: Don and Doug covered the background of VIVA and the Interlibrary Loan Committee, especially crediting individuals who had been instrumental in getting many ILL initiatives started. Ruth cited community colleges' roles. 4. VIVAILL-L (listserv): Andy maintains this listserv and will add all new committee members. The committee agreed to keep the listserv's current name and focus for now on ILL and recommended that each institution's ILL office have at least one staff member subscribe. 5. Coordination in canceling print subscriptions: It was agreed that better communication and coordination in this area would be helpful to interlibrary loan staff. Ruth will check with Kathy Perry and John Walsh and the Resources for Users Committee re that committee's role in this process and what types of information is being shared (e.g., cancellations; weeded volumes). 6. Equity of ILLs: Doug reported on history and statistics on heavy ILL lenders, and noted that these institutions are also heavy borrowers. He also provided us with January-June 1999 lending and borrowing statistics. The committee will review these statistics and the issue at its next meeting and will consider suggestions for balancing the workload for institutions that handle a higher number of loans. 7. ILL of journals not owned by Virginia institutions: It was agreed that statistics would be difficult to compile, but a snapshot might help. Options considered included adding subscriptions if the number of ILLs is high for certain journals or using a commercial document delivery service, such as Uncover. At a future meeting, the committee will examine the possibility of a statewide Uncover gateway. 8. Electronic reserves: Brief discussion of which institutions were using and how it's working. 9. VIVA Resource Sharing Web Page (viva.lib.virginia.edu/vivaill/vivaill.html): Jean Cooper of UVA's ILL staff has maintained this page and is willing to continue. The committee accepted her offer with thanks. 10. Resource Sharing Committee-sponsored OCLC course(s): Doug will ask Jean Cooper to post an inquiry on the VIVAILL listserv as to interest, location, etc. Probable soonest date would be in Spring 2000. 11. Strategic plan: Don handed out a draft operations plan designed to help reduce subscription costs. ACTION: each of us on the committee will bring to the next meeting a list of the 100 most expensive journals (not serials) to which our institutions subscribe; Don will discuss his operations plan at the next VIVA Steering Committee meeting.
