Minutes of the ILL Subcommittee of the Resource Sharing Committee April 7, 2000 1) Introductions - Below is a list of the committee members and their home institutions. The "*" indicates those that were able to attend the meeting. *Andy Morton - Virginia Commonwealth University *Jean Cooper - University of Virginia *Pat Demars - Randolph Macon Woman's College Joy Galloni - Richard Bland Community College Cyndi Hartung - Randolph Macon College Cindy Jackson - Northern Virginia Community College *Joe Malloy - Sweet Briar College *Jamie Redwine - Hollins University *Debra Ryman - James Madison University Jeanne Scott - Virginia Commonwealth University *Kathy Tilton - Tidewater Community College 2. Review of committee's charge - The committee discussed the charge set by the VIVA Resource Sharing Committee. The charge includes planning the annual VIVA ILL Community Forum, planning regional training events, and fostering better service and communication between VIVA ILL offices. 3. Planning for upcoming VIVA ILL Community Forum - The committee discussed possible dates and programs for the upcoming forum to be held this summer. Possible dates include June 16, July 14, July 21, July 28, and August 18. Planning may be difficult due to summer vacations and ALA. Possible events discussed include a half day workshop with Mary Jackson from ARL, copyright workshop with representatives from the library community and commercial vendors, ILL management system vendors, and a Training Workshop with multiple breakout sessions. Action plan: Jean Cooper will contact Mary Jackson to discuss possible dates and fees. Andy Morton will contact the VIVA Resource Sharing Committee chair to discuss availability of funds. 4. VIVA Ariel procedures, review of previous Ariel recommendations - The committee reviewed the Ariel procedures document drafted in 1995. Suggestions were made regarding content and technical issues. Action plan: Jean Cooper will retype the document and add the suggestions/corrections. The VIVA ILL Subcommittee will review the changes and make additional comments. Once the draft is finalized it will be presented to the VIVA Resource Sharing Committee for approval. The committee also discussed the possibility of establishing regional Ariel experts to help all VIVA institutions fully utilize Ariel. The experts would consist of volunteers from around the state. This will also be discussed at the next VIVA RSC meeting. 5. Ruth Kifer from the VIVA Resource Sharing Committee and the VLA Academic Round Table approached the committee regarding a joint presentation at the next VLA Conference to be held in Norfolk in October. The committee discussed the idea and proposed the possibility of a presentation centered around maintaining accurate ILL statistics using Microsoft Access and Excel. A copyright workshop was also considered. This will be an ongoing discussion to be finalized later. 6. The next meeting is currently scheduled on May 12 at UVa.
