Minutes of VIVA Outreach Committee, February 7, 2000
Present: Ralph Alberico (chair), Jack Bales, Patricia Butler, Sharon Goad, Patricia Hardesty, and Berna Heyman.
The meeting was called to order by Ralph Alberico.
Minutes of the December 2, 1999 VIVA Steering Committee were distributed and approved.
Berna Heyman was given a round of applause for the new VIVA brochure. The brochure will be made available on the Outreach Committee web site in PDF format.
Ralph announced that the new VIVA brochure was being circulated to Library Directors with a letter asking for their help in distribution to legislators, College and University Presidents and Board members.
Ralph Alberico noted that the Outreach Committee website would be moving to the official VIVA server at VCU. The Committee agreed that Ralph remain webmaster. It was suggested and agreed that the Committee would like to track the traffic on the Outreach and other VIVA web sites.
The Committee endorsed the posting of the Library Trends article comparing library consortia, if given permission. Jack Bales volunteered to input the articles on VIVA from Virginia Libraries into machine-readable format. It was agreed that a use permission footnote would be added to the Outreach website.
Spotlight assignments were discussed. It was agreed that Ralph would provide the next spotlight on quality and Patricia Butler would provide one on the OED. As soon as the move of the Outreach Committee web site to the VCU server is completed, Ralph will announce Spotlight to the VIVA listserv. Jack will prepare a press release for Project Muse to include the new journal titles. The graphic for the Spotlight website was approved.
The Committee discussed how to present new additions to VIVA databases. It was decided that we should post changes in a general format similar to the Highwire listing. There was a discussion of the Committee’s role in providing publicity when resources have been dropped or replaced. The Committee decided that this posting should be done for library staff only by the Resources for Users Committee, since each library may choose to deal with potential cancellations in a different manner. There are also concerns about publicizing the reasons why a specific title was dropped.
The Committee discussed ways to document the integration of VIVA into the academic curricula. Ralph gave a brief report on the consultant’s report to the VIVA Steering Committee. Ralph brought the Graduate Education in Virginia viewbook as an example of a possible VIVA viewbook format. It was decided that the Committee should wait for recommendations from the Steering Committee before further discussion on a VIVA viewbook.
The Committee continued to discuss ways of assessing the impact of VIVA on the curricula. The use of statistics and the development of faculty and student testimonials were discussed. It was decided that the members of the Outreach Committee would solicit comments from two faculty or students at their institution concerning their use of VIVA resources. Sharon Goad was asked to submit a faculty video commentary. The deadline for submission is April 15, 2000.
Other ways of advertising VIVA, such as mousepads were discussed. It was decided that the Committee would inquire about the use of handouts and other items as promotional tools. The focus of the Committee will remain on updating the Outreach website and soliciting faculty/students testimonials.
The meeting was adjourned at 12:45.
Respectfully submitted.
Sharon Goad
