VIVA ad hoc Technical Issues Committee on Content Linking and Management for Electronic Serials and other Digital Materials
Minutes for February 12, 2003

Present: Elaine Day (Averett, Chair), Amy Boykin (CNU), Glenn Bunton (ODU), Mary Ann Chappell (JMU), Deanna Chavez (RMC), Katherine McKenzie (WM), Liz Kent (Sweet Briar), Leslie O'Brien (VT), Jamie Redwine (Hollins).

1) Workshop: May 30th was the preferred date. [The conference center is booked that day. Liz has proposed the 29th instead.] Discussion centered on selecting a brief reading list for the participants. We have good articles on e-serials management and reference linking, but need one for federated searching. Mary Ann suggested Roy Tennant's article in Library Journal.

Title: VIVA workshop on electronic resources management, content linking, and federated searching: administrative, technical, and public services issues.

Who should attend? Library administrators, public services staff, technical services staff.

Objectives: obtain a basic understanding of electronic resources management and access integration (D2D) from public services and technical, and managerial perspectives; provide a planning framework for VIVA directors.

Format: interactive and participatory: introduction and vision, overviews and separate discussions for public services, technical and administrative staff, general discussion and wrap-up.

Content: ABC's of managing e-serials and other digital materials, reference linking, and federated searching (attendees should have prior knowledge from reading 3 articles and our preliminary report), implications and opportunities for VIVA and consortia, VIVA and institutional perspectives.

2) Content linking survey: Mary Ann suggested that the survey might not be integral to our report or workshop at this point. It is not feasible for one staff member to complete it. We can ask some of these questions at the workshop, where two or three representatives from each institution will be present, then make recommendations for future study. Some questions we can investigate on our own in order to frame the workshop discussions. Some information is best asked directly by phone or email, rather than in a survey, and might be put off until later. It was agreed to scrap the survey instrument for now and consider later whether to bring selected questions to the workshop closing session..

3) Report to VIVA Steering Committee: report is too long, needs editing. Some issues may go in glossary rather than body of report. Drafts of the sections should be mounted on Blackboard, and everyone contribute suggestions. Completing a report for the steering committee by March 6 will enable us to concentrate on workshop planning and clear the way for releasing a preliminary report to VIVA libraries prior to the workshop.

4) Federated Searching case study: Mary Ann distributed a case study by Cheri Duncan (JMU) on implementation of Endeavor ENCompass. JMU may be able to host a demonstration of LinkFinderPlus and Encompass administration the week of March 10. Mary Ann will extend the invitation to committee members.

5) Next meeting: It may be necessary to meet in late February to discuss issues and recommendations in the report prior to the Steering Committee Meeting, March 6. We will try to cover discussion items in e-mail..
